POLICY'S

Booking Policy


By scheduling an appointment with Reshape Aesthetics, you acknowledge and agree to the following terms and conditions. These policies ensure a smooth, safe, and professional experience for all clients.


1. Booking & Deposits

  • All U.S. and U.K appointments require a non-refundable deposit to secure your time slot.
     
  • Deposits are applied toward your treatment total on the day of your appointment.
     
  • Failure to follow booking policies will result in forfeiture of the deposit.
     

2. Late Arrival Policy

  • Please arrive on time to ensure you receive your full treatment.
     
  • Clients arriving 15 minutes or more late may be refused service at the practitioner’s discretion.
     
  • Late refusals are treated as no-shows, and deposits are forfeited.
     

3. Rescheduling & Cancellations

  • Appointments may be rescheduled up to 48 hours before your appointment.
     
  • Requests made after this window may result in loss of the deposit.
     
  • No-show appointments automatically forfeit the full deposit.
     

4. Treatment Refunds

  • All treatments are non-refundable, including dissatisfaction with results.
     
  • Results vary by individual; outcomes cannot be guaranteed.
     
  • Additional touch-ups or corrections may incur separate charges.
     

5. Medical Disclosure

  • Clients must provide full and accurate medical history before treatment.
     
  • Undisclosed conditions, medications, or recent procedures may lead to appointment cancellation for safety reasons.
     
  • Reshape Aesthetics is not responsible for complications caused by withheld information.
     

6. Right to Refuse Service

  • We reserve the right to refuse service for safety, ethical, or professional reasons.
     
  • This includes clients who are unwell, under the influence, aggressive, or non-compliant with clinic policies.
     

7. No Children Policy

  • For safety and focus during procedures, no children are allowed inside the clinic. Please plan accordingly.
     

8. Photography & Documentation

  • Before-and-after photos may be required for medical documentation.
     
  • Photos will not be used for marketing without your consent.
     

9. Pricing & Payments

  • All prices are subject to change without notice.
     
  • Payment is due at the time of treatment.
     
  • Promotional offers cannot be combined unless stated otherwise.







 

Communication Policy 


At Reshape Aesthetics, we aim to provide efficient and reliable communication for all clients. To ensure we can assist you promptly and accurately, please review our communication guidelines below:


1. Phone Communication

For all appointment-related matters—including booking, rescheduling, cancellations, or urgent questions—you must contact the clinic directly by phone.

This is the most reliable way to reach us, and our team will be happy to assist you during business hours.


2. Email & Text Messages

  • Emails and text messages are not monitored.
     
  • We do not receive appointment changes, confirmations, or inquiries through email or SMS.
     
  • Messages sent through these channels may go unanswered, and the clinic is not responsible for missed communication.
     

3. Instagram Inquiries

For general questions or quick queries, you may reach us on Instagram at @reshapeaesthetics.
Please note:

  • Instagram is not for urgent matters or time-sensitive appointment changes.
     
  • Appointment adjustments must always be made by phone.
     

4. Response Times

  • Phone calls will be returned as soon as possible during operating hours.
     
  • Social media responses may take longer and are not guaranteed outside business hours.





 

Complaints & Reviews Policy 


At Reshape Aesthetics, your safety, satisfaction, and peace of mind are extremely important to us. Because aesthetic treatments require time to settle and heal, our review and complaints process is designed to follow the natural healing stages while ensuring you receive proper support throughout.


1. Healing & Review Timeframes

  • All aesthetic treatments take 2–4 weeks to fully heal and settle.
     
  • For this reason, we follow a structured review process to ensure fairness, accuracy, and safety.
     

2. First Review: 0–2 Weeks (Healing Phase)

  • During the first 2 weeks, swelling, bruising, and unevenness are normal.
     
  • In-person reviews are not offered within this period unless we have concerns about:
     
    • A possible allergic reaction, or
       
    • A vascular occlusion (a rare but urgent complication).
       
  • If you have concerns during these first 2 weeks, we can schedule you for a review phone call or virtual consultation with your practitioner to reassure you and assess your healing.
     

3. Second Review: 2–4 Weeks (Settling Phase)

  • If you still have concerns after the initial 2-week healing stage, we will bring you in for an in-person review between weeks 2 and 4.
     
  • Your practitioner will assess the treated area once most swelling and healing have settled.
     

4. Corrections & Adjustments

  • Refunds are not provided if you are unhappy with your result.
     
  • Instead, your assigned nurse will decide the most appropriate corrective option:
     
    • Dissolving the area of concern, or
       
    • Adding up to 1ml of filler to correct unevenness or insufficient result.
       
  • The complimentary 1ml correction is only provided if:
     
    • The treated area is visibly uneven, or
       
    • Your before-and-after photos show no improvement, as assessed by your practitioner.
       
  • Corrections are carried out only when it is medically safe to do so.
     

5. Escalating a Concern

  • If your issue remains unresolved after your 2–4 week in-person review, you may request for the matter to be escalated to Alice, our clinic manager.

6. Anti-Wrinkle (Botox) Review Policy

  • Anti-wrinkle treatments take a full 2 weeks to show true results.
     
  • If you still have movement after 2 weeks, you are eligible for a complimentary 2-week top-up, valid only within 2 weeks post-treatment.
     
  • If you contact us after this timeframe, or if movement persists after your top-up, additional product will be charged.
     

7. Respectful Communication

We are committed to handling all complaints professionally and respectfully. Abusive or aggressive behaviour toward staff will not be tolerated and may result in refusal of future services.






Model Policy 


By applying to be a model at Reshape Aesthetics, you acknowledge and agree to the following terms and conditions. These policies ensure transparency and fairness while supporting a safe training environment for students.


1. Discounted Model Rates

  • Model rates are 50% off standard prices.
     
  • This discount is offered because:
     
    • A student practitioner (supervised by a qualified professional) will be performing the treatment, and therefore results are not guaranteed.
       
    • Your before and after photos will be used for training, marketing, and social media content.
       
  • By booking, you agree to the use of all images and videos taken during your appointment.
     

2. Photography & Content Use

  • High-quality before and after images will be taken as part of your model agreement.
     
  • These images may be used on our website, social media platforms, advertisements, and training materials.
     
  • You understand and accept that this is a condition of the discounted model rate.
     

3. No Refund Policy

  • All model treatments are non-refundable.
     
  • Results may vary due to the nature of training, and dissatisfaction with results does not qualify for a refund.
     

4. Dissolving Policy

  • If you are unhappy with your results, you may request to dissolve the treated area free of charge.
     
  • Re-treatment after dissolution will follow standard pricing (not model pricing).
     

5. Suitability Requirements

  • All models must pass a suitability assessment on arrival.
     
  • If you are deemed not a suitable candidate, you will be turned away, and:
     
    • Your deposit will not be refunded.
       
    • No compensation or reimbursement will be offered.
       
  • Suitability is determined by the supervising practitioner for safety and training purposes.
     

6. Expectations & Limitations

  • As a model, you understand that:
     
    • Treatment time may be longer than normal due to training.
       
    • Minor imperfections, asymmetry, or limited improvements may occur.
       
    • Adjustments and corrections are not guaranteed under model rates (except free dissolving).
       
  • You agree to follow all aftercare instructions provided.
     

7. Safety First

  • The supervising practitioner reserves the right to stop the treatment at any time if it becomes unsafe or unsuitable.
     
  • Clinical safety always takes priority over training objectives.
     

8. No Compensation

  • By participating as a model, you agree that no compensation is claimable under any circumstances, including:
     
    • Dissatisfaction with results
       
    • Unsuitability for treatment
       
    • Inconvenience or travel costs
       
    • Treatment cancellation for safety reasons
       

9. Binding Agreement

By booking a model appointment with Reshape Aesthetics, you confirm that you have read, understood, and agreed to all terms listed above. These conditions are final and non-negotiable.





Klarna Payment Policy 


This policy applies to all clients who choose to pay for their treatment using Klarna. By selecting Klarna at checkout, you agree to the following terms:


1. Klarna Payments Are Non-Refundable

  • Payments made through Klarna cannot be refunded back to your bank account or card under any circumstances.
     
  • This applies whether you change your treatment, reduce the amount of product used, or choose not to proceed with the treatment.
     

2. Changing or Reducing Your Treatment

If you choose a treatment different from what you originally paid for through Klarna, and the new treatment is lower in price, the price difference will not be refunded.

Instead, you will be offered:

  • A gift voucher for the remaining amount, or
     
  • A credit added to your clinic account to use at a later date.
     

Example:
If you book 1ml Lip Filler for £200 using Klarna, but on the day only receive 0.5ml (£150),
you will not receive the £50 difference as a refund.
Instead, you will receive a £50 gift voucher or £50 account credit.


3. Cancelling or Not Having the Treatment

  • If you pay with Klarna and then decide not to have the treatment, Reshape Aesthetics cannot issue a refund.
     
  • You may either:
     
    • Contact Klarna directly to discuss your options, or
       
    • Receive the full amount you paid as clinic credit or a gift voucher.
       

4. Klarna Disputes

  • Any disputes or payment concerns must be directed to Klarna, as they manage your payment agreement.
     
  • We will assist by confirming your appointment details if required, but refund decisions are strictly handled by Klarna.
     

5. No Cash or Card Refunds

  • Under no circumstances will Klarna payments be refunded in cash, bank transfer, or card refund by Reshape Aesthetics.
     

6. Acceptance of Policy

By completing your purchase with Klarna, you confirm that you understand and agree to this Klarna Payment Policy.
